Vault overview

A vault is your workspace in Valise. It holds all of your artworks, contacts, locations, collections, and related data. Everything you do in Valise happens inside a vault.

When you sign up, Valise creates a vault for you automatically. Most people only ever need one, but you can create additional vaults if you want to keep entirely separate inventories — for example, to manage a foundation’s collection independently from your own studio practice.

Settings

Vault settings are spread across a few pages, accessible from the Settings menu. Core settings like General, Members, and Billing can only be changed by vault owners; contacts, locations, and tags can also be managed by editors.

General

Settings → General covers the core configuration for your vault:

• Title: the name displayed throughout Valise, usually your name as an artist or the name of your studio.
• Currency: the default currency for pricing information (retail prices, sale prices, expenses). Changing it won’t affect values you’ve already entered.
• New artwork defaults: the status, artist, location, medium, and dimensions every new artwork starts with. Out of the box, new works are available, credited to you, and have no location, medium, or dimensions. Change the artist if you’re primarily tracking works by others. Imports and the API apply only the default artist; their other fields are stored as given.
• Delete Vault: permanently removes the vault and everything in it. You’ll be asked to type a confirmation phrase first. This can’t be undone, so export your data beforehand if you want to keep a copy.

Members

Settings → Members lets you invite others — like a studio assistant or gallery representative — to help manage your vault. Each person is assigned a role (Owner, Editor, or Viewer), plus a Pricing access switch that controls whether they see prices, sale amounts, and expense amounts. Contacts, Locations, and Tags

Settings also holds the directories of records you attach to artworks: Contacts, Locations, and Tags. Use these pages to browse, rename, merge, or delete entries in one place. See our help docs on contacts, locations, and tags for how each works.

Import / Export

Settings → Import / Export is where you can import your data from a spreadsheet or another service, and export everything in your vault.

Developer

Settings → Developer lets you create API keys for the Valise API.

Billing

Settings → Billing shows your current usage and lets you upgrade your plan or manage your subscription. Each vault has its own plan.

Account settings

Alongside these vault pages, the Settings menu also has an Account section with Profile, Security, and Notifications pages, which apply to you as a person rather than to the vault. See your account and security for details.
