Track where your artworks are in the world

Locations are named places where you store or display artworks. For example:

  • Your home or studio
  • A storage facility or warehouse
  • A gallery that’s currently exhibiting a work
  • A buyer’s home or collection
  • A photographer or framer’s workspace

Locations let you assign each artwork (or each edition) to a single place, so you can quickly see where every work is in the world. As you move things around, you only need to update the location in one place and the change is reflected across your vault.

Fields

  • Title: the name of this location. This is what you’ll see when choosing from the location picker, so use whatever name will help you recognize it. Common examples include “Home Studio”, “Spencertown Storage”, or a gallery name.

Managing locations

To view all the locations in your vault, or edit any location, go to the Locations settings page. From here you’ll see a list of all your locations along with how many artworks or editions are at each. You can search, create new locations, edit and delete existing ones, or merge duplicates together.

If you have duplicates (for example, “Home Studio” and “Home studio”), select the locations using the checkboxes and choose Merge from the Actions menu. You’ll be asked to pick which location to keep — all artworks assigned to the others will be moved to it, and the duplicates will be deleted.

Deleting a location will unassign it from any artworks or editions currently using it.

Referencing locations

When editing an artwork, you’ll be able to select from your existing locations using the Location field in the details panel. You can choose from locations you’ve already created from the Locations settings page, or you can create a new location on-the-fly.

To create a new location while editing an artwork, type the name of the location you’d like to add, then select the “Add location: (name)” option from the list. This location will automatically be added to your vault’s list.

For editioned works, the location is tracked per edition rather than per artwork, so each copy can live in a different place. Open an edition from the artwork page to assign or update its location.

The location field is also available as a filter on the artworks page, making it easy to see all works currently at a specific place.

Tips and tricks

Tracking sublocations

If you need to track sublocations — such as a specific shelf, drawer, or box within a larger space — we recommend using a slash convention in the location name. For example, “NYC Studio / Box 1” or “Spencertown Studio / Flat File Storage / Drawer 3”. This keeps locations organized and makes them easy to search and filter.
