Quickly find artworks and more in your vault

One of the most useful features of Valise is the ability to filter artworks, sales, contacts, and collections to quickly answer questions about your archive, like:

  • Which works are currently available and in the studio?
  • What works are consigned right now?
  • Which works still need to be photographed?
  • Who bought a work from me in 2024?
  • Which collections have I shared?

Basics

Filtering works the same way everywhere in Valise: tap the Filter box in the top-left of a list to add filters to your view. You’ll be able to select from the filter types available on that page.

You can add multiple filters at once. Each new filter you add further narrows down the results. In other words, a record needs to match all filters to be shown.

Artwork filters

From your Artworks page, you can filter by:

  • Title: Filters by the title of the artwork.
  • Year: Filters by the year the artwork was created. You can filter by a single year, before or after a year, or whether or not the year is set.
  • Medium: Filters by the medium of the artwork. You can match against text, or filter by whether or not the medium is set.
  • Location: Filters by where the artwork is currently located. You can select one or more locations, or filter by whether or not the location is set.
  • Images: Filters by whether or not the artwork has images.
  • Status: Filters by the status of the artwork. You can select one or more statuses to include or exclude.
  • Tag: Filters by the tags attached to the artwork. You can select one or more tags to include or exclude, or filter by whether or not any tags are set.
  • Artist: Filters by the artists attached to the artwork. You can select one or more artists to include or exclude, or filter by whether or not the artist is set.
  • Notes: Filters by any text notes attached to the artwork.

Filters are smart and will try to give the expected result even when not captured directly in your metadata. For example, if an artwork has a year of “2001–2003”, filtering for “2002” will show it too. This also works with the shortened “2001-03” format.

Sale filters

From your Sales page, you can filter by:

  • Buyer: Filters by who purchased the work. You can select one or more buyers, or filter by whether or not a buyer is set.
  • Seller: Filters by who sold the work. You can select one or more sellers, or filter by whether or not a seller is set.
  • Sale Total: Filters by the total amount of the sale — above, below, or equal to a value.
  • Date: Filters by the year the sale happened. You can filter by a single year, before or after a year, or whether or not the date is set.
  • Notes: Filters by any text notes attached to the sale.

Contact filters

From Settings → Contacts, you can filter by:

  • Role: Filters by the contact’s role — buyer, consignee, or collaborator. You can select one or more roles to include or exclude.
  • Email: Filters by the contact’s email address.
  • Location: Filters by the contact’s location.

Collection filters

From your collections page, you can filter by:

  • Title: Filters by the title of the collection.
  • Sharing: Filters by whether or not the collection has a sharing link.
  • Number of works: Filters by how many artworks the collection contains.
  • Included artists: Filters by the artists included in the collection.

The consignments page works a little differently: it offers quick filters for seeing active and upcoming consignments at a glance.

Sorting

You can sort your artworks list using the Display menu at the top-right of the artworks page.

You can sort by:

  • ID — sorts by your assigned artwork ID. We sort numerically, so VAL-0025 is before VAL-0026. If you have multiple prefixes, we sort alphabetically, so AA-0025 is before BB-0025.
  • Title — sorts alphabetically by title. Within the same title, artworks are grouped by most recent year.
  • Year — sorts by the year of the work. Within the same year, works are grouped by artist name and then title, so an artist’s works always stay together.
  • Artist Name — sorts alphabetically by artist. Within each artist, works are ordered by most recent year and then title.
  • Added — sorts by when the artwork was added to Valise, most recent first by default. Useful for reviewing recently catalogued works.
  • Updated — sorts by when the artwork was last edited, most recent first by default. Useful for seeing what you’ve been working on lately.

All sort options can be toggled between ascending and descending order using the arrow button next to the sort selector.

Tips & tricks

  • After filtering, you can press Cmd+A or Ctrl+A on your keyboard to quickly select all the works in the list and make a collection with them.
  • After filtering, opening an artwork page will keep your filters in place. You can also navigate to the next or previous artwork in the filter using the arrows in the top-right of the page, or with the j and k keys. This makes it easy to quickly browse or edit a subset of your archive.
